Project Manager
We are seeking a highly capable Vietnam Project Manager to take ownership of product development, program operations, and destination performance in Vietnam. This role sits at the intersection of educational program design, destination development, supplier management, costing, program delivery, quality improvement, and commercial performance.
Location: Vietnam; Hanoi or Ho Chi Minh City preferred, with frequent travel across Vietnam

Responsibilities
• Supplier & Procurement Management: Identify, vet, negotiate with, and manage high-quality local suppliers across accommodation, transportation, restaurants, activity providers, guides, schools, NGOs, and specialist partners. Build a structured Vietnam supplier database with pricing, reliability notes, service standards, feedback, and preferred-rate opportunities.
• Program Operations & Execution: Oversee the end-to-end delivery of educational programs across Vietnam, ensuring logistics, bookings, staffing, transportation, accommodation, meals, activities, and on-site coordination are confirmed, accurate, and executable.
• Quality Control & Client Experience: Ensure programs meet the standards promised to clients, including teacher expectations, student experience, learning objectives, timing, service quality, and on-ground flow. Conduct post-program debriefs and turn feedback into practical improvements for future programs.
• Safety, Risk & Escalation: Conduct risk assessments, supplier audits, contingency planning, incident reporting, and escalation protocols. Anticipate issues before they become problems and raise material risks early with clear options or recommendations.
• Product & Itinerary Development: Develop and continuously refine flagship Vietnam itineraries that deliver meaningful educational experiences, are practical to operate, and can be consistently delivered across different clients.
• Financial & Administrative Oversight: Track costs, supplier payments, invoices, budgets, and cost benchmarks. Identify opportunities to improve margin and cost efficiency without compromising safety, educational value, or participant experience.
• Maintain safety and academic standards
• Design and refine itineraries, timetables, activities, and equipment lists
• Train and lead programs on the ground (be responsible for briefing and training freelancer program leaders to make sure BC standards and client expectations are clear, setting the on-the-ground staff up for success)
• Work with project teams to help anticipate and resolve issues based on their on-the-ground experience
• Work with project coordinators to help clarify and manage client expectations
• Work with operators to select suppliers and ensure they have a clear understanding of our clients’ expectations, as well as to ensure equipment and materials are secured on time
• Systems, SOPs & Documentation: Build, manage, and continuously improve Vietnam’s destination and supplier databases, operational systems, and SOPs. Establish clear and practical processes for supplier management, costing, program operations, and internal handovers, ensuring information is accurate, well-structured, and consistently maintained to support efficient and scalable program delivery.
• Cross-Regional Coordination: Work closely with Operations, Business Development, Client Services, Finance, and regional teams across China and Southeast Asia to provide Vietnam destination insight, support proposal development, and ensure programs are both appealing and deliverable.
• Team & Field Leadership: Manage and support local guides, facilitators, freelancers, suppliers, and on-program staff during delivery. Provide clear briefings, set expectations, and ensure local teams understand Beyond Classrooms / WildChina Education standards.
Requirements
• 5+ years of relevant experience in project management, educational travel, experiential learning, program or activity design and delivery, DMC work, travel operations, or a related field.
• Strong knowledge of Vietnam and the ability to research and develop destination resources, educational themes, local partners, and meaningful student experiences.
• Demonstrated ability to turn research and ideas into mature, executable products, including supplier sourcing, operational planning, and costing.
• Strong project management and execution skills, with the ability to manage multiple programs, suppliers, deadlines, and operational details.
• Strong commercial and financial literacy, including product costing, budgeting, margin analysis, supplier cost management, and P&L awareness.
• Strong product and quality mindset; able to balance learning outcomes, student experience, safety, operational feasibility, cost, and market competitiveness.
•Clear communication skills and ability to work with both local Vietnamese partners and international colleagues or clients.
• Fluent Vietnamese and strong English required.
• Willingness to travel frequently and be available during active program delivery periods.
• Proactive, solution-oriented, and comfortable building systems in an environment that is still scaling.
Preferred
• Experience working with international schools and understanding what schools expect from experiential learning or educational travel programs.
• Existing network of reliable suppliers, guides, educators, activity providers, and local partners across Vietnam.
• Proven experience designing, planning, and executing activities, student programs, educational travel products, or experiential learning experiences.
• Experience with safety management, risk assessment, supplier audits, or incident response.
• Comfort using tools such as Microsoft Office, Monday.com, SharePoint, Google Workspace, or similar project-management systems.
